Portal Hound

Portal Hound for property management

Your offshore property team in your portals, one address, every session logged.

Leasing follow-up, work orders, owner statements and utility accounts all live in web portals. Portal Hound gives your offshore staff named access to the ones you approve, from a single company-owned U.S. address, with a record of who reached what.

The problem

Property systems weren't built for teams spread across continents.

Property management software, screening services and utility portals increasingly challenge logins from unfamiliar locations. Managers respond with shared logins and ad-hoc VPNs, and lose track of who moved money, approved a vendor or pulled a tenant's screening report.

Screening and payment portals lock up

Tenant screening, rent payment and utility sites are quick to challenge or block logins from abroad.

One login for the offshore team

Shared system logins mean the owner statement, the vendor payment and the screening pull all look like the same person.

Owner and tenant data

Owners ask who can see their statements. Tenants have screening and payment data in the system. You need an answer.

How it works

One button for workers. Full control for you.

You approve the portals

Add each platform your team works in. Portal Hound suggests the domains it needs, and nothing is reachable until you approve it.

Workers press Connect

They install a small app for Windows or Mac, sign in with their work email, and connect. There's nothing to configure.

Only approved portals go through

Those platforms are reached through your company's U.S. gateway, tied to that person and logged. Email, banking and everything else use the worker's own connection.

Platforms

The portals these teams approve first.

Any web platform can be approved. These are typical for property management companies.

What you get

Named users on every system, a single company address, a log you can show owners.

  • Each team member is their own user in Yardi, AppFolio or Buildium; Portal Hound never shares a login.
  • All portal logins come from your company's one U.S. address, so screening and payment sites stop challenging.
  • Access logs tie every session to a person, which answers owners' questions about who touches their accounts.
  • Revoke access the day someone leaves, without changing passwords on twenty portals.

Requirements

Portal Hound is for teams already allowed to work offshore.

It controls and records how your team reaches portals. It doesn't change who is allowed to use them, or where from.

Your agreements must permit offshore access

Tenant screening services, payment processors and some municipal portals restrict access from outside the U.S. or require it to be disclosed in your agreement. Check each one before routing it. Portal Hound is not a way around a portal's location rules.

Every person uses their own login

Your team members sign in to each platform with accounts issued to them, in the role they need. Portal Hound never shares, stores or fills in a login, and it isn't for working as somebody else.

Regulated data stays your responsibility

Tenant screening reports are regulated under the FCRA; payment data under card-industry rules. Your policies and training still apply.

Tell your team access is logged

The access log records which person reached which platform and when. Tell them, and follow the privacy and employment rules where they work.

Portal Hound doesn't guarantee access to any portal. The companies that run them decide who may use their systems. Full requirements.

Questions from property management companies

Do our owners need to do anything?

No. Owners see nothing different, except that your company's logins come from one consistent address and you can tell them who accessed their account.

Can maintenance coordinators use it for vendor portals?

Yes. Approve each vendor portal once; everyone on the team reaches it through the gateway under their own vendor-portal user.

Our property software is installed on a server, not the web.

Portal Hound routes browser traffic to approved sites. Installed software connects however it did before, and isn't affected.

See Portal Hound with your own portals.

We'll show you the worker app and admin console, and talk through setting up a gateway for your team.
