Portal Hound for recruiting and staffing
Offshore sourcers on your ATS and job boards, each on their own seat.
Sourcing, scheduling and onboarding paperwork run through web platforms that sell seats and watch for sharing. Portal Hound gives your offshore recruiting team named access to the platforms you approve from one firm-owned U.S. address, with a record of who reached what.
The problem
Recruiting platforms sell seats and notice when they're shared.
LinkedIn Recruiter, job boards and ATS vendors price per seat and detect one seat used from many places. Sharing a recruiter's seat with an offshore team risks the firm's whole contract, and candidate data accessed under a shared login has no accountable name.
Seat sharing risks the contract
A Recruiter seat used from four countries is a terms violation, and vendors enforce it.
Candidate data without a name
Who downloaded the resume database? Under a shared login, no one knows.
Background checks and I-9s
Screening and onboarding portals handle sensitive data and restrict who may access it, from where.
How it works
One button for workers. Full control for you.
You approve the portals
Add each platform your team works in. Portal Hound suggests the domains it needs, and nothing is reachable until you approve it.
Workers press Connect
They install a small app for Windows or Mac, sign in with their work email, and connect. There's nothing to configure.
Only approved portals go through
Those platforms are reached through your company's U.S. gateway, tied to that person and logged. Email, banking and everything else use the worker's own connection.
Platforms
The portals these teams approve first.
Any web platform can be approved. These are typical for recruiting and staffing firms.
What you get
A seat per sourcer, one firm address, an access record for candidate data.
- Every sourcer holds their own seat on Recruiter, the job boards and the ATS; Portal Hound never shares one.
- All platform logins come from your firm's one U.S. address.
- Access logs tie every candidate-database session to a person, which is what your data-protection policy requires.
- Revoke a departing recruiter instantly, without touching anyone else's seat.
Requirements
Portal Hound is for teams already allowed to work offshore.
It controls and records how your team reaches portals. It doesn't change who is allowed to use them, or where from.
Your agreements must permit offshore access
Job boards and recruiting platforms sell seats to named people and ban sharing. Some screening and government employment portals prohibit access from outside the U.S. Check each platform's terms before routing it. Portal Hound is not a way around a platform's location rules.
Every person uses their own login
Your team members sign in to each platform with accounts issued to them, in the role they need. Portal Hound never shares, stores or fills in a login, and it isn't for working as somebody else.
Regulated data stays your responsibility
Candidate data is personal data under privacy laws in many states and countries, and background-check data is regulated under the FCRA. Your policies and training still apply.
Tell your team access is logged
The access log records which person reached which platform and when. Tell them, and follow the privacy and employment rules where they work.
Portal Hound doesn't guarantee access to any portal. The companies that run them decide who may use their systems. Full requirements.
Questions from recruiting and staffing firms
Can our offshore sourcers share one LinkedIn Recruiter seat?
No, and Portal Hound doesn't make that acceptable. Each sourcer needs their own seat. Portal Hound gives those seats one firm address and a log.
Does it work with our VMS clients' portals?
Any web portal can be approved. Whether your client's VMS permits offshore access is in your client agreement; check it first.
How quickly can we add a new sourcer?
Add them in the admin console, approve their computer, and they're connected in minutes. Seats on each platform are still issued by that platform.
